An in-house bookkeeper is good, but another set of objective eyes can prevent errors and possible fraud. Banks, lenders and IRS agents prefer a set of accounting records and financials that have been prepared by a small business accountant who is also a Certified Public Accountant. Remember, these professionals review financial records every day, and they can quick spot accidental inconsistencies and errors. Heck, even PaySimple which offers ACH and credit card processing might require financial reports to judge your credit worthiness.
We have partnered with Padgett Business Services (also known as Small Biz Pros) to offer streamlined procedures to the client interaction. Their model encourages technology to keep efficiency high and costs low. For our local Colorado Springs accounting clients, on or about the 29th of the preceding month we will send a postcard and an email alerting you of our expected pickup date (between the 6th and 8th). Even with online bank and credit card access, there might be items you need to provide us such as sales reports for sales tax processing, government notices, new employee forms, inventory figures, etc. Face to face interaction might be old school, and while we live in a virtual world we stay true to our roots.
Remember, even if we don’t do the data entry, at least consider using us as a backup to your current accounting. This type of insurance can help you sleep at night or thru your kid’s talent show.

Yes We Use QuickBooks
As Chris Rock once said, men don’t get married.. men surrender. Same with QuickBooks. For as much as we despise the QuickBooks monstrosity, it’s here to stay for a while, and therefore we have surrendered. Having said that, using QuickBooks on your behalf offers some advantages.
Portability is the biggest reason. If you decide to switch accountants or a meteor crashed into our office with laser precision and uncanny timing, you can take your QuickBooks data file to any other accountant. You can also buy QuickBooks, take some webinars and be your own bookkeeper in a pinch. PeachTree, Creative Solutions and other accounting packages are OK, but the portability is suspect.
Online Accounting Software
Online accounting packages or programs are becoming more prolific, and frankly they can do a better job. Xero Accounting, FreshBooks, and Wave Accounting are just a few. Online accounting offers simplicity, where as QuickBooks is 90% more than most businesses need. Online accounting also allows for collaboration between you, us and your staff (or partners).
Accounting Deliverables, Financials
We perform bank and credit card reconciliations, code your transactions and turn it all into financial reports that are elegant, simple and meaningful. Yes, we said elegant! Profit and loss reports, balance sheets and general ledger entries are the common reports you’ll get, but we can customize anything.
There are three levels of assurance provided when creating financial reports; Compilation, Review and Audit. Each level has unique standards as governed by professional organizations such as American Institute of Certified Public Accountants (AICPA) and Generally Accepted Accounting Principles (GAAP). Your financial reports are considered Compilations, and are limited to internal management use only. However, we can perform Reviews and Audits as necessary (yuck!).
Industry Statistics, Comparisons
As your small business accountant, the Watson CPA Group can also create charts and graphs to determine trends in your sales, or other expense categories that are sensitive to your success. For example, cost of goods sold is critical to those in the fast food industry (quick service restaurant)- how do you compare to yourself in previous months or years, and how do you compare to others in the same business?

Quick example #1- 1 bank account, 1 credit card, direct bank access or CSV download, about 75 transactions would be $290 per month, or $360 per quarter.
Quick example #2- 1 bank account, direct bank access or CSV download, about 100 transactions, AND sales tax would be $315 per month, or $425 per quarter.
A debit card tied to your business banking account is considered one account.
These fees will cover most situations, however, depending on the number of accounts and transactions, these fees might have to be adjusted. And we offer discounts when combined with other services.

We are flexible in extracting the necessary information from our clients- email, fax, mail, drop-off, pickup, etc. Whatever works best and easiest for you! We are a Colorado Springs accounting firm, but we work with clients throughout the country, in any location. Technology is our friend.
Having said that, most clients give us direct access to their bank accounts (checking accounts and business credit cards) to make the process seamless. Sounds crazy but several banks such as Chase, Wells Fargo, Bank of America, BellCo, just to name a few, have an Accountant’s Login option. This allows us to view canceled checks and download statements. We can’t move money, write checks, transfer- basically all the bad stuff. Please check with your bank to see if this would be an option for you- it would save you valuable time and resources by not having to provide this information. We get it ourselves! If this type of access makes you uncomfortable we will work with you to find a solution that fits for everyone.
All financial statements and any “soft” copies of files that you send us will be placed in your client portal folder. For example, if you fax us some information and then lose your copy, you can download your fax in PDF from your portal folder. How cool is that? The portal is 100% secure which allows us to exchange sensitive information and large files that cannot be emailed.
